Introduction
We have released a feature to allow PRISM Connect to sync Annual/Annual subscriptions (annual billing and commitment).
This was previously not available as annual/annual subscriptions are invoiced separately from PRISM's monthly subscription invoicing.
It will make use of the new billing experience (Recon File Billing).
How Does It Work
PRISM Connect will check for annual subscription invoices daily for customers configured and sync the invoice into the charges/additions to the mapped contract/agreement of the PSA.
It uses the details from the billing data from the billing statement of the annual subscription invoice.
In both PSAs (ConnectWise Manage and Datto AutoTask), the monthly subscriptions are synced as recurring services to allow monthly invoices.
Annual/annual subscriptions work differently, as it does not require recurring billing. As a result, in the PSAs they require a different agreement/contract setup.
Creating New Agreement/Contract
To allow syncing, the customers must first be setup with an active agreement/contract in the PSA. The existing monthly subscription agreement/contract will not work with annual subscription billing.
Create a new contract for customer you want to sync using the following details (other details are the same):-
1. For Connectwise Manage ensure the billing cycle in the agreement is set to One-Time under Recurring Invoice Parameters
2. For Datto AutoTask, use the Fixed Price contract type when creating the new contract
Enabling Annual Subscription Sync
To enable Seat-based Annual Subscription sync, please follow the steps below:-
- Login to PRISM Connect by using this link or click on Integration from PRISM portal
- Go to Settings on your configured PSA in PRISM Connect
- Check on the box for
- Click on Save
Configuring the Customer to PSAs
Once the SBA is enabled, please follow these steps to map the PRISM Customers to the PSAs' agreements/contracts
- Click on Microsoft CSP under the configured PSA in PRISM Connect
- This section will load with tab selected
- Under search for the PRISM Customer you want to sync by name
- There should be 3 entries, 1 for each billing motion.
- Find the Customer entry for Seat-based Annual and click on to edit
- In the form, search for the Company name by their names in the PSA and then the agreement/contract you created in previous steps
- Set the sync date and click or click on to sync immediately
